How to Write Verification Letter?
Here I am writing some guidelines regarding how to write quality verification letter because like other formal letters, verification letter also need to follow a specific format to maintain its professional needs.
- If you are going to print verification letter on your letterhead then there is no need to write preliminary information such as name of organization, your contact addresses etc.
- Type date and skip a line before writing name of person or organization followed by address and then skip another space.
- Next write salutation followed by person’s name and a colon such as “Dear Mr. Paul” and incase you don’t know name of contact person then write ‘’Dear Sir’’ or “Dear Madam’’ followed by a colon.
- Identify yourself in the start of letter and explain what kind of information you are looking about specific person. You should ask for information verification by writing name of specific person and reason of verification such as to verify job title, verification of employment within the organization, job title and number of working experience.
- Try to keep verification letter comprehensive and concise. Keep it error free by both logical and grammatical aspects.
- At the end of letter say thanks to recipient in anticipation for his/her time and also tell him/her how you want to take reply of your request. State your phone and fax number as well as email address in case if you are not using letterhead or this information is missed on letterhead.
- Write a complimentary close at the end of letter such as you can type “Sincerely”. Write your full name after skipping three spaces and sign above your typed name after taking its print out on company’s letterhead.
